Terms and Conditions

1. Introduction

These Terms & Conditions set out the basis on which Bespoke Slovenia, operated by Valentina Osolnik Gresham, Family Travel Planner, provides independent travel-planning and travel-consultancy services.

I specialise exclusively in travel to Slovenia, offering bespoke itinerary design, planning, recommendations, and booking assistance.

I provide independent travel-planning services only.

I do not act as a package travel organiser and do not sell package holidays.

All travel services are booked directly between you and your chosen supplier.

My role is limited to advice, planning, and support.

By engaging my services, you agree to these Terms.

2. My Services

My services may include:

  • personalised itinerary design

  • research and recommendations for accommodation

  • assistance with booking accommodation

  • assistance with booking car hire and car transportation

  • assistance with booking sport equipment hire

  • assistance with booking sports activities

  • arranging hiking guide bookings

  • arranging ski instructor bookings

  • restaurant recommendations and booking support

  • recommendations for childcare providers

  • support during your trip (see Section 9)

What my services do not include:

  • selling or providing travel services

  • acting as the contracting party for any travel service

  • combining travel services into a single price or contract

  • taking payments intended for accommodation, car hire, guides, or any supplier

  • offering financial protection (e.g., under the Package Travel Regulations)

Any booking I assist with is made in your name and subject to each supplier’s own terms.

3. My Role as an Independent Travel Planner

You acknowledge and agree that:

  1. I act solely as a travel planner and consultant.

  2. I am not a travel agent acting as principal.

  3. I am not a package organiser under the Package Travel and Linked Travel Arrangements Regulations 2018.

  4. I do not sell, arrange, or combine travel services for a single price.

  5. Your contracts are with the suppliers of accommodation, car hire, guides, instructors, activities, restaurants, or other services.

  6. Those suppliers are solely responsible for delivering the services you choose.

4. Your Bookings with Suppliers

When you make a booking:

  • You contract directly with the supplier.

  • You pay the supplier directly using their payment link, invoice, or website.

  • You must read and accept the supplier’s Terms & Conditions, including cancellation policies, refund provisions, change fees, and deposit rules.

I will assist and support you in navigating these, but:

  • I am not a party to those contracts.

  • I am not responsible for delivering or guaranteeing the supplier’s service.

  • I cannot override supplier rules, prices, or availability.

Suppliers are fully responsible for:

  • pricing and availability

  • cancellations or changes

  • service delivery

  • safety standards

  • itinerary adjustments

  • errors, overbooking, or failures

5. Fees for My Services

My travel-planning fees are:

  • Trips over 4 nights: £300–£500 per family (depending on complexity and services required)

  • Trips under 4 nights: £250–£350 per family

The exact fee will be agreed with you before planning work begins.

What my fee covers

  • time, research, and expertise

  • personalised itinerary design

  • communication with suppliers on your behalf

  • planning of logistics, routes, and daily structure

  • recommendations and tailored support

  • availability during working hours (with limited out-of-hours availability)

What my fee does not cover

  • accommodation

  • car hire or transportation costs

  • guides, instructors, activities, or entrance tickets

  • insurance

  • any fees payable to third-party suppliers

Fee payment

  • Payment is required before substantial planning work begins.

  • Fees are non-refundable once work has started due to the bespoke nature of the service.

  • If your trip details change significantly, an additional fee may apply (always discussed in advance).

6. Cancellations, Changes & Supplier Issues

As your bookings are with suppliers:

  • all cancellations or amendments must be arranged directly with the supplier

  • I will assist where possible, but cannot guarantee outcomes

  • any refunds, compensation, or remedies must come from the supplier

I am not responsible for:

  • supplier cancellations or overbooking

  • changes in availability or pricing

  • delays, weather conditions, or travel disruptions

  • supplier errors, insolvency, or service quality

  • missed flights, missed connections, or itinerary changes imposed by suppliers

7. Travel Requirements (Passports, Visas & Health)

You are responsible for ensuring that:

  • your passport and documentation meet entry requirements for Slovenia

  • you hold any required visas

  • you comply with health, vaccination, or testing requirements

I may offer general guidance, but you must verify requirements with official sources.

I am not liable for losses resulting from failure to meet travel requirements.

8. Travel Insurance

You must obtain comprehensive travel insurance covering (as appropriate):

  • medical expenses

  • cancellation and curtailment

  • personal liability

  • loss of belongings

  • sports activities such as hiking or skiing, if applicable

I do not sell or arrange insurance.

9. Support Availability

I provide support to clients during their trip to Slovenia.

Standard Support Hours

Monday to Friday, 09:00–17:00 (UK time)

During these hours, I am available for:

  • itinerary support

  • adjustments

  • supplier communication

  • general assistance

Out-of-Hours Support

I may offer limited availability outside standard hours, including evenings and weekends.

Responses may be delayed.

Out-of-hours support is provided on a best-efforts basis and is not guaranteed.

If you encounter urgent issues with accommodation, car hire, activities, or guides, you should contact the relevant suppliers first, as they typically offer emergency or extended-hours support.

10. Liability

To the fullest extent permitted by law:

  • I am not liable for any act, omission, or failure by suppliers.

  • I am not liable for losses arising from cancellations, delays, schedule changes, weather events, or any supplier-related issues.

  • I am not liable for illness, injury, theft, accidents, or damage to property.

  • My total liability for my services, if any, is limited to the fee you paid me.

Nothing in these Terms limits liability for fraud or personal injury caused by my negligence.

11. Force Majeure

I am not liable for delays or failures in performing my planning services due to events outside my reasonable control, including but not limited to:

  • natural disasters

  • extreme weather

  • government restrictions

  • epidemics

  • strikes

  • war or civil unrest

  • significant personal illness or emergency

Where suppliers are affected by force-majeure events, you must follow their policies.

12. Privacy & Data Protection

I collect and store personal information only as needed to provide your travel plan.

I will:

  • use your data solely for your travel-planning service

  • store data securely

  • share information only with suppliers you choose to book

  • never sell or misuse your personal data

  • delete information when it is no longer required

You may request access to, or deletion of, your data at any time.

13. Governing Law

These Terms are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
